Step-by-step guide to creating a new event
Event Setup
Follow these steps to set up a new event in Dollarydoos.
Step 1: Create Organisation
If you don't already have an organisation:
- Navigate to Settings > Organisation
- Click "Create Organisation"
- Enter your organisation details:
- Name
- Slug (URL-friendly identifier)
- Contact email
- Address
- Click "Create"
Step 2: Create Event
- Navigate to Events
- Click "Create Event"
- Enter event details:
- Name - Display name for the event
- Slug - URL-friendly identifier
- Start Date - Event start date and time
- End Date - Event end date and time
- Timezone - Event timezone
- Venue - Primary venue (optional)
Step 3: Configure Venues
Set up your event venues and rooms:
- Navigate to Venues
- Click "Add Venue"
- Enter venue details:
- Name
- Address
- Capacity
- Add rooms within the venue:
- Room name
- Capacity
- Equipment (projector, microphone, etc.)
Mappedin Integration
For interactive wayfinding:
- Navigate to Settings > Mappedin
- Enter your Mappedin credentials:
- Venue ID
- API Key
- API Secret
- Click "Test Connection"
- Map rooms to Mappedin locations
Step 4: Set Up Token Economy
Configure your cashless payment system:
- Navigate to Payments > Token Types
- Create token types:
- Standard - General currency
- Promotional - Sponsor giveaways
- Complimentary - VIP tokens
- Set exchange rates and refund policies
Step 5: Onboard Vendors
Add vendors who will accept payments:
- Navigate to Vendors
- Click "Add Vendor"
- Complete vendor profile:
- Business name
- Category (food, merchandise, etc.)
- Contact information
- Complete KYC process (for payouts)
- Add products to their catalog
Step 6: Order NFC Cards
Contact support to order NFC cards/wristbands:
- Choose card type (cards, wristbands)
- Quantity needed
- Artwork/branding
- Delivery timeline
Step 7: Test Everything
Before going live:
- Create test transactions
- Verify KDS functionality
- Test card top-ups and payments
- Review reports and analytics
