Step-by-step guide to creating a new event

Event Setup

Follow these steps to set up a new event in Dollarydoos.

Step 1: Create Organisation

If you don't already have an organisation:

  1. Navigate to Settings > Organisation
  2. Click "Create Organisation"
  3. Enter your organisation details:
    • Name
    • Slug (URL-friendly identifier)
    • Contact email
    • Address
  4. Click "Create"

Step 2: Create Event

  1. Navigate to Events
  2. Click "Create Event"
  3. Enter event details:
    • Name - Display name for the event
    • Slug - URL-friendly identifier
    • Start Date - Event start date and time
    • End Date - Event end date and time
    • Timezone - Event timezone
    • Venue - Primary venue (optional)

Step 3: Configure Venues

Set up your event venues and rooms:

  1. Navigate to Venues
  2. Click "Add Venue"
  3. Enter venue details:
    • Name
    • Address
    • Capacity
  4. Add rooms within the venue:
    • Room name
    • Capacity
    • Equipment (projector, microphone, etc.)

Mappedin Integration

For interactive wayfinding:

  1. Navigate to Settings > Mappedin
  2. Enter your Mappedin credentials:
    • Venue ID
    • API Key
    • API Secret
  3. Click "Test Connection"
  4. Map rooms to Mappedin locations

Step 4: Set Up Token Economy

Configure your cashless payment system:

  1. Navigate to Payments > Token Types
  2. Create token types:
    • Standard - General currency
    • Promotional - Sponsor giveaways
    • Complimentary - VIP tokens
  3. Set exchange rates and refund policies

Step 5: Onboard Vendors

Add vendors who will accept payments:

  1. Navigate to Vendors
  2. Click "Add Vendor"
  3. Complete vendor profile:
    • Business name
    • Category (food, merchandise, etc.)
    • Contact information
  4. Complete KYC process (for payouts)
  5. Add products to their catalog

Step 6: Order NFC Cards

Contact support to order NFC cards/wristbands:

  • Choose card type (cards, wristbands)
  • Quantity needed
  • Artwork/branding
  • Delivery timeline

Step 7: Test Everything

Before going live:

  1. Create test transactions
  2. Verify KDS functionality
  3. Test card top-ups and payments
  4. Review reports and analytics
